Privacy Policy

1. Introduction

1566741 B.C. LTD. (“we”, “us”, or “our”) operates ContractChecker™ (contractchecker.ca), an automated contract analysis service for BC real estate professionals. This Privacy Policy describes how we collect, use, store, and protect your personal information when you use our service.

We are committed to protecting your privacy and complying with the British Columbia Personal Information Protection Act (PIPA, SBC 2003, c. 63) in our collection, use, and disclosure of personal information.

2. Information We Collect

Account Information

  • Email address
  • Full name
  • Password (stored as a bcrypt hash — we never store or see your plain-text password)
  • Professional designation (if provided)

Contract Documents

  • PDF files you upload for analysis
  • Extracted text and structured data generated during analysis
  • Analysis reports, findings, scores, and classifications

Usage Data

  • Pages visited, features used, and interaction patterns
  • IP address and browser/device information
  • Timestamps of actions

Payment Information

  • Payment processing is handled entirely by Stripe. We do not store your credit card numbers, CVV, or full card details on our servers.
  • We store Stripe customer IDs and subscription status for account management.

Waitlist Information

  • Email address, name (optional), signup source, UTM parameters, and IP address for bot prevention
  • Waitlist data is stored until launch and used for launch notifications and product updates with your consent

3. How We Use Your Information

  • Service delivery: To analyze contracts and generate reports
  • Account management: To manage your subscription, process payments, and provide support
  • Service improvement: To understand usage patterns and improve the Service (aggregated, anonymized data only — see Section 7)
  • Communications: To send transactional emails (report ready, payment confirmations) and, with your consent, product updates and regulatory change notifications
  • Security: To detect and prevent fraud, abuse, and unauthorized access
  • Legal compliance: To comply with applicable laws, regulations, and legal processes

4. Document Handling

We take the privacy of your contract documents seriously. Real estate contracts contain sensitive personal and financial information, and we handle them with care:

  • Processing only: Documents are processed solely for the purpose of generating your analysis report.
  • Encryption: Documents are encrypted in transit (TLS 1.2+) and at rest (AES-256).
  • Automatic deletion: Uploaded PDF files are automatically deleted from our servers within 24 hours of analysis completion.
  • No model training: Your documents are not used to train machine learning models or shared with any provider for training purposes.
  • No third-party access: We do not sell, share, or provide your original documents to any third party, except as described in Section 5 below.
  • Report retention: Analysis reports are retained for 30 days to allow download access, then permanently deleted. You may request earlier deletion at any time.

5. Third-Party Service Providers

We do not sell your personal information. We share data only with the following service providers:

Language Model Provider

Document content is transmitted to third-party language model providers for the purpose of generating contract analysis. These providers process data in real-time and do not permanently store your document content. Specifically:

  • Anthropic: Language model provider for contract analysis. Document text is transmitted for processing. Anthropic processes data under their own data handling policies and does not retain input data after processing.

Payment Processing

  • Stripe: For payment processing. Stripe stores payment method details under their own PCI-DSS compliant security policies. We only receive transaction confirmations and customer IDs.

Hosting and Infrastructure

  • Cloud hosting provider: For application hosting, database storage, and file storage. Data is stored and processed in Canada.

We may also disclose information if required by law, court order, or to protect the rights, property, or safety of our users or the public.

6. Data Retention

  • Account data: Retained while your account is active. Deleted within 90 days of account closure.
  • Contract PDFs: Deleted within 24 hours of analysis completion.
  • Analysis reports: Retained for 30 days for download access, then permanently deleted. Shared report links expire after 7 days unless extended.
  • Payment records: Retained as required by Canadian tax and accounting regulations (up to 7 years).
  • Waitlist data: Retained until launch, used for launch notifications and marketing with your consent. You may unsubscribe or request deletion at any time.
  • Usage analytics: Aggregated and anonymized analytics data may be retained indefinitely. This data cannot be traced back to individual users.

7. Aggregated and Anonymized Data

We may use aggregated, anonymized data derived from service usage for improving our algorithms, generating industry benchmarks (e.g., common missing clause patterns, typical risk scores by property type), and publishing research insights. This data contains only statistical patterns and cannot be traced back to any individual user, property, or transaction.

8. Your Rights Under PIPA

Under the British Columbia Personal Information Protection Act (PIPA), you have the right to:

  • Access your personal information held by us
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal data
  • Withdraw consent for non-essential communications
  • Request information about how your data is collected, used, and disclosed
  • File a complaint with the Office of the Information and Privacy Commissioner for British Columbia (OIPC)

To exercise these rights, email us at privacy@contractchecker.ca or support@contractchecker.ca. We will respond to access and correction requests within 30 business days.

9. Cookies and Analytics

We use essential cookies for authentication and session management. We do not use third-party advertising or tracking cookies.

  • Authentication token: To maintain your logged-in session
  • Session cookie: For application state management
  • Dev gate cookie: To remember access authorization during private testing periods

We may use privacy-respecting analytics to understand service usage patterns. Analytics data is aggregated and does not include personal information or document content.

10. Data Breach Notification

In the event of a data breach that creates a real risk of significant harm to individuals, we will:

  • Notify affected users by email as soon as feasible
  • Report the breach to the Office of the Information and Privacy Commissioner for British Columbia (OIPC) as required by PIPA
  • Take immediate steps to contain the breach and mitigate any harm
  • Provide affected users with information about what data was compromised and recommended protective steps

11. Security

We implement industry-standard security measures to protect your data, including:

  • TLS 1.2+ encryption for all data in transit
  • AES-256 encryption for data at rest
  • Bcrypt password hashing
  • Access controls and role-based permissions
  • Regular security monitoring and logging

However, no system is completely secure, and we cannot guarantee absolute security. If you suspect unauthorized access to your account, contact us immediately.

12. Children’s Privacy

The Service is intended for use by licensed real estate professionals and is not intended for use by anyone under the age of 18. We do not knowingly collect information from minors. If we learn that we have collected information from a person under 18, we will delete it promptly.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email to registered users. The “Last updated” date above indicates the most recent revision. Continued use of the service after changes constitutes acceptance of the updated policy.
